Real-time access to patient information for every member of a child’s care team is possible with EpicCare Link. This secure, web-based portal connects community clinicians, their support teams and other external partners to Children’s Minnesota’s Epic Electronic Health Record. When every member of a child’s care team has access to their complete health information, we can all provide the best, most efficient and informed pediatric care for the patients we share.

EpicCare Link users can access a patient’s complete health information, make referrals, order and access test results, and communicate with other members of the child’s care team.

What are the features of EpicCare Link?
EpicCare Link features include:
- View patient charts, including visits, hospitalizations, medications, allergies, and clinical notes

How do I sign up a new site?
Note: We will begin processing new sites in January 2027
- Submit a new site request form.
- Designate a Site Administrator (1–2 individuals).
- Complete required site agreement.
- Your application is then reviewed by Children’s Minnesota.
- Once approved, you will receive onboarding instructions.
Site setup turnaround is 2 weeks, 10 business days.
How do I add a new user to my site, practice or organization?
Your site administrator can submit a new user request. Once approved, the new user will receive login credentials via the email that was provided in the request.
New user set up turnaround time is 1-2 business days.
Who can enroll in EpicCare Link?
Physicians, clinical support staff, care and referral coordinators, front and back-office staff, school nurses, research partners, public health and ancillary care teams. Each role will have a varying level of security based upon their function.
What training is available for EpicCare Link?
Site administrators will receive a training guide upon completion of site set-up.
Education and training materials will be available behind the user’s log-in. These resources are self-paced and remain available as often as needed.
Training is not required for EpicCare Link.

What are the technical requirements for accessing EpicCare Link?
Most modern browsers should be sufficient for EpicCare Link.
EpicCare Link is supported for tablets on high enough versions although not all activities in EpicCare Link are supported on tablets.
EpicCare Link is not supported on mobile.
If your site restricts IP addresses, we can provide specific IPs if you need to allow on your end but we anticipate this to be infrequent.
What are the responsibilities of the site administrator?
The site administrator will assist with provisioning new users from their organization. They are responsible for understanding who within their site should be granted access to EpicCare Link and will assign the appropriate role to each user.
They will be alerted to complete the site verification every 90 days to ensure all users from their practice are currently employed and should have access to EpicCare Link.
Sit administrators are our first point of contact for changes or optimizations to EpicCare Link as well as communication that can be cascaded to their site users.
Where can I find information for research coordinators/external study monitors?
Research coordinators and external study monitors can gain access to patient information through EpicCare Link. To request EpicCare Link access for the first time, go to EpicCare link enrollment.

How can I get help with other questions?
Your practice administrator can assist with basic navigation and access to EpicCare Link. They are also able to reset passwords.

**Many community providers and partners have been using EMR View and Cerner Powerchart (via remote access) to view clinical records at Children’s Minnesota. While a large amount of data is being converted over to the new Epic system, there still may be a need to utilize these legacy applications for data prior to January 2024. We anticipate that access to EMR View and Cerner Powerchart will end in March 2027 and EpicCare Link will be the best application for real-time access to patient information.
